Job Description

Watts and Bytes is looking for a bookkeeper/office administrator to work within our office based in Bronkhorstspruit on full time basis.

The applicant must be eager to learn, and highly organized working to strict deadlines. We require someone with an eye for detail, an excellent communicator and comfortable multi-tasking.

The position will include the day to day running of the office in addition to invoicing, payroll, monthly reconciliations and general administration.

The candidate must have a sound knowledge of the Microsoft office suite (especially Excel) and account management software such as Xero.

Duties and Responsibilities


You will be responsible for providing financial, administrative and clerical support to the organisation including but not limited to ensuring the company receives payments for goods and services and records these transactions accordingly. Further, you will be responsible for the completion of payments and control of expenses.

Duties include:
1. Generating invoices and account statements
2. Account reconciliations
3. Maintaining historical records
4. Producing monthly financial and management reports
5. Investigating and resolving any irregularities or enquiries
6. Keeping track of all payments and expenditures, including payroll, purchase orders, invoices, statements, etc.
7. Preparing payroll
8. Paying vendors and responding to all vendor enquiries regarding finance
9. Preparing analyses of accounts and producing monthly reports
10. Continuing to improve the payment process

Office administrator

As an office administrator, you will provide office support to either an individual or team. Your duties will include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. Additionally, you will be responsible for adhoc office projects and tasks.

Duties include:
1. Answering incoming calls, taking messages and re-directing calls as required
2. Dealing with email enquiries
3. Taking minutes
4. Diary management and arranging appointments
5. Data entry (sales figures, quotations, pricing etc.), creating databases etc
6. General office management such as ordering stationary
7. Organising travel and accommodation
8. Maintaining company asset register
9. Arranging both internal and external events
10. Ensuring all company compliance documentation is maintained
11. Contract administration
12. Providing administration support to Field technicians, Fleet officer, Project Managers, Safety Managers and Senior Management
